
The Department of Foreign Affairs seeks individuals or firms to provide driving services to the North South Ministerial Council Joint Secretariat (South)
The North South Ministerial Council (NSMC) Joint Secretariat (South) is urgently seeking quotes from suitable individuals or firms to provide driving services to the Joint Secretary (South) and other officials.
Anticipated Contract start date: 22 April 2025
Contract end date: One year with an option for extension subject to satisfactory performance.

Requirements:
The range of duties will vary over time according to the requirements of the Joint Secretariat (South).
We currently estimate a minimum of 15 hours per week will be required. Out-of-hours/ unsocial work patterns can be expected but are not regular.
This role will include, but may not be limited to the following activities:
- Driving the Joint Secretary and other officials for official engagements, within Northern Ireland and Ireland
- Picking up, meeting and driving other official visitors to and from the NSMC Joint Secretariat office in Armagh
- Maintaining the vehicle (refuelling, arranging MOT, regular services, washing and cleaning etc.)
- Maintaining a vehicle log, keeping track of mileage, fuel, and toll expenses and preparing monthly report to Head of Corporate Affairs
- Liaising with PSNI and AGS drivers on ministerial and other high level visits
- Other related duties as required in the course of the daily business of the mission.
Essential requirement to provide this service include:
- Extensive previous driving experience including at executive level;
- Clean and current driving licence, and highly competent driving skills;
- Strong geographical knowledge of the region;
- Security management skills, understanding of security operations and procedures;
- Proven capacity to exercise good judgement and decision making;
- A flexible attitude and a high level of discretion, commitment and reliability;
Offer Validity Period:
In submitting a quote the supplier agrees that their quote will remain open for acceptance for six calendar months from the Deadline for Quotes.

In submitting the price, service providers must meet the following:
- The pricing schedule must show the hourly fees inclusive of all expenses and charges associated with the full delivery exclusive of VAT, Prices should be tendered in GBP £.
- In preparing their quote, suppliers are to consider all risks, contingencies and other circumstances relating to the delivery of the service and include adequate provision in the quote and pricing information to manage such risks and contingencies.
- Suppliers are to document in their quote all assumptions and qualifications made about the delivery of the service, including in the financial pricing information. Any assumption that the Department will incur cost related to the delivery of the requirements must be stated, and the cost estimated, if possible.
- Service providers must be able to meet standard security clearance requirements.
